In content industry, workflow is not a new term. But, what is workflow? From Google search — “A workflow represents the orchestrated sequence of industrial, administrative, or other processes guiding a piece of work from its inception to its final completion.”

As a Solution Architect during consulting sessions, I’ve encountered different types of workflows, including mature and parallel workflows, as well as the more begineer level “Draft to Publish” workflow. This is often utilized by freelancers and personal blogger.

However, in the context of organizations, workflows can become more complex and multifaceted, often involving various stages and roles. If an organization’s workflow is linear and stagnant, it might be a suitable time to gather stakeholders and identify potential areas of improvement. Are your experiencing any of following?

  • Everybody is manager but no accountability when things go wrong
  • Low quality content
  • Miscommunication and diffculties in collaboration
  • Frustrated Users, Heated/Passive conversations

Standardized naming for different stages of content publishing can indeed be a challenge, as every organization might have its own internal terminologies and workflows. Let me share some common publishing stage names with you which you might related with the activities going on in your organiztion. Pick and choose to craft your workflow or who know you come up with something new!

  • Drafting: Write a copy
  • Ingestion: Content items are accepted for multipe sources
  • Reviewing: Reviewer review the content piece against content goals, branding guidelines etc
  • Translation: Automated translations
  • Legal review: Legal team giving a hard look at your content piece
  • Enrichment/Transformation: Adding meta data or taxonomy on curated content
  • SEO Optimization: SEO team making changes to content piece based on SEO guidelines
  • Scheduling/Publishing: Ready to go for audience
  • Archiving: Self explanatory!

It’s essential for organizations to evaluate their workflows regularly, especially when faced with a linear structure. Some quick gains by establishing workflows are

  • Improved Efficiency: A well-defined content workflow streamlines the entire content creation process.
  • Consistency: With a standardized content workflow, organizations can maintain consistency in content quality, style, and tone across different pieces of content.
  • Enhanced Collaboration: Content workflows promote collaboration among team members, as each individual knows their role and responsibilities in the content creation process.
  • Accountability: By assigning specific roles and responsibilities to team members, a content workflow enhances accountability. Everyone involved in the process knows what is expected of them, making it easier to track progress and address any issues that arise.
  • Streamlined Publishing: A content workflow ensures that content goes through the necessary checks and approvals before publishing.
  • Data-Driven Insights: Content workflows often include analytics and data tracking, allowing organizations to measure the performance of their content.
  • Better Content Governance: A content workflow includes stages for quality assurance and compliance, ensuring that content meets the required standards and adheres to legal and regulatory requirements.
